Job Description:Job Purpose: To assist one or more managers in a Department or Function in planning, organizing, scheduling, co-ordinating and managing resources effectively Principal Accountabilities Responsibilities: 1.Proper maintenance of records, files, papers and any other type of documents in computerized form or in physical form. 2.Co-ordinating within/ across departments/ functions in order to enable smooth flow of work. 3.Planning and organizing all infra structural requirements for meetings, conferences, workshops. 4.Scheduling meetings and appointments effectively in order to ensure proper utilization of time. 5.Co-ordinating with external agencies (like travel agencies, Hotels, Airlines, individuals, consultants, etc) to facilitate effective interface. 6.Maintaining confidential files correspondence for the manager/ managers. Qualifications Experience:& nbsp Graduate in any discipline with a professional secretarial course.& nbsp 1- 3 years experience in an administrative capacity& nbsp Kannada fluency required. Females preferred Key Success Factors: 1.Ability to anticipate needs and prioritize jobs effectively. 2.Good working knowledge of MS Office packages. 3.Good communication skills both verbal written. Ability to correspond independently. 4.An eye for detail in planning and organizing work/ activities. 5.Ability to meet deadlines work under pressure. Competencies: 1. Efficiency, in meeting expected Results. 2. Displays Emotional Stability 3. Consistently produces Quality work Ownership : 5. Demonstrates Customer/ Service Orientation: 6. Demonstrates good Interpersonal Relations: 7. Demonstrates good communication skills (written and verbal) 8. Takes Initiative: 9. Exhibits an eye for detail in planning execution - is practical in approach. 10. Is Cost Conscious : in her own sphere of responsibility. 11. Demonstrates Team Working ability : 12. Technical Skills: a.Computer Proficiency: Good working knowledge of MS Office packages like Word, Excel, Powerpoint. Knowledge of various applications of Lotus Notes for scheduling, etc..& nbsp b.Typing: Typing speed of about 40 words per minute.& nbsp c.Shorthand: Working knowledge of shorthand is desirable& nbsp d.Ability to handle other office related equipments like photocopier, facsimile machine, etc.
